Secretary (OA)

This Secretary (Office Automation) position provides clerical/administrative support to the Chief Policyholder Services Division as well as other staff members and employees in the Insurance Center of the Department of Veterans Affairs located in the Philadelphia Regional Office in Philadelphia, PA.
As a Secretary (OA)for the Veteran Benefits Administration you will:

  • Receive telephone calls and greet visitors, give routine and non-routine information, answer questions and direct calls and visitors to the appropriate person or office.
  • Receive and respond to routine and non-technical requests for information such as status of reports, and maintain suspense records on all correspondence and action documents.
  • Prepare and type a variety of correspondence, reports, forms, requisitions, etc., using word processor or personal computer in final form.
  • Organize and maintain files, records, manuals, and handbooks.
  • Acts as supply clerk for the division, making sure items are ordered and stocked.
  • Performs duties as personnel clerk for the division, which involves preparing requests for personnel actions, maintaining employee records, and serving as time keeper.
  • Maintain supervisor's calendar; schedule appointments and prepare notes regarding discussion topics; and make travel arrangements and prepare travel vouchers.
Work Schedule: The core hours for this position are from 8:00 AM to 4:30 PM. Full flexible schedule is available after training (alternative work schedules are not available).

Promotion Potential: There is no promotion potential for this position.

GS-GS-06: One year of specialized experience equivalent to the GS-05 grade level in the federal service.
Specialized Experience that equipped the applicant with the particular knowledge, skills and abilities (KSA's) to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled, in the normal line of progression for the occupation in the organization. Specialized experience is defined as work that involves

  • Screening calls and visitors and directing them to the appropriate office;
  • Typing and proofreading various kinds of correspondence; and
  • Organizing and maintaining files and records.

Note:Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience that you document, including volunteer experience.Physical Requirements: The work is sedentary. Typically the employee may sit comfortably to do the work. However, there may be some walking, standing, bending and carrying of light items such as papers and books.   • Disability annuity termination (notification from OPM of disability annuity termination and separation SF-50 of the last position held); or
  • Military reserve or National Guard technician special disability retirement annuity under 5 U.S.C. 8337(h) or 8456 (certification of special disability retirement annuity from a military department or National Guard bureau and separation SF-50 of the last position held).
