Job Description
Medical Administrative Assistant

This position is organizationally located under the Eligibility and Enrollment Section of the Business Office. The incumbent represents the Medical Center Director in all administrative matters occurring when assigned to other than a normal tour of duty. The incumbent is delegated full authority and responsibility to exercise the Medical Center Director's prerogative in health administration matters. Some of the duties to accomplish this task include, but are not limited to the following:

  • Provide administrative authority, guidance, and advice to the Medical Officer of the Day and all other professional staff concerning administrative issues.
  • Serve as Patient Representative during tour of duty.
  • Prepare daily statistical reports.
  • Determine travel eligibility and prepares authorization for reimbursement.
  • Incumbent must have the ability to identity and analyze complex problems.
  • Accurately interviews and verifies patients demographics, insurance information, and eligibility for benefits for medical care and other services.
  • Scans documents to medical charts.
  • Receive/return phone calls.
  • Admit and discharge Veteran inpatients.
  • Transfer patients to other facilities by ambulance or hired car.
  • Authorized endorsing officer for documents pertaining to the administration of laws concerning VA.
  • Coordinates the resolution of medical-legal problems concerning the Medical Center.
  • Process administrative issues surrounding beneficiary death, seriously ill cases, suicides, assaults, death on arrivals, homicides, code blue, etc.
  • Observe, evaluate, and coordinate administrative activities with IRM, Engineering, Laboratory, Radiology, Nursing and Environmental Management personnel.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-7 position you must have served 52 weeks at the GS-6. The grade may have been in any occupation, but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.


You may qualify based on your experience and/or education as described below:

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade level (GS-06) in the normal line of progression for the occupation in the organization. Specialized experience is experience that equipped the applicant with the particular knowledge, skills, and abilities to perform successfully the duties of the position, and that is typically in or related to the work of the position to be filled.

Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.Physical Requirements: Work requires some walking, standing, sitting, bending, and carrying of light to moderately heavy items, such as patient's medical records, boxes, printer paper, books, etc. Experiences constant interruptions, such as handling the switchboard; this Medical Center does not have a telephone operator on duty from 4:30 P.M to 8:00 A.M. May be required to assist in lifting patients into wheelchairs and into emergency treatment rooms when nursing personnel are busy with other emergencies, or during graveyard tours when there is no one else in the Emergency room to assist.
