Reports to: Human Resources Manager
The mission of KIPP San Antonio is to enable students from underserved communities to develop the knowledge, skills, and character necessary to graduate from college, lead in their communities, and command their future.
There are currently 162 KIPP schools in 20 states and the District of Columbia serving 58,000 students. More than 88 percent of our students are from low-income families and eligible for the federal free or reduced-price meals program, and 95 percent are African American or Latino. Nationally, more than 93 percent of KIPP middle school students have graduated high school, and more than 82 percent of KIPP alumni have gone on to college.
There are 80 KIPP middle schools (grades 5-8), 60 elementary schools (grades Pre-K-4), and 22 high schools (grades 9-12). Students are accepted regardless of prior academic record, conduct or socioeconomic background.
KIPP San Antonio is a growing network of schools: KIPP Aspire Academy (5-8), founded in 2003, KIPP University Prep (9-12), 2009, KIPP Camino Academy (5-8), 2010, KIPP Un Mundo Dual Language Academy (K-3), 2012, KIPP Esperanza Dual Language Academy (K-1), 2014, and KIPP Poder Middle School (5), opened in 2015. Reporting to the Human Resources Manager, the Payroll Specialist will be a critical part of the KIPP San Antonio School Support Team (SST) and will be responsible for processing payroll and managing the daily administrative functions of the Payroll function for a $25 million non-profit organization. The Payroll Specialist is responsible for processing semi-monthly payroll cycles for over 300 employees, maintaining payroll records and staff information, meeting state and federal compliance requirements, managing relationships with staff, and supporting the overall transformation of the Human Resources function for the KIPP San Antonio organization. The Payroll Specialist role is an exciting opportunity for a results-oriented professional to be a part of a growing human resources function and improve the efficiency, accuracy, and effectiveness of a system of high-achieving charter schools.
1. Manage components of the payroll process
•Prepare and process payroll and salary calculations for new hires, terminations, and employee changes
•Manage workflow to ensure all payroll transactions are processed accurately and timely
•Process garnishment calculations, voluntary and involuntary deductions
•Review and process current payroll data including stipends and one-time deductions
•Run the payroll preview, make edits when appropriate, and send preview registers for approval before processing payroll
•Work with Finance to ensure the accuracy of the payroll account codes
•Process manual checks and supplemental payrolls as needed
•Make recommendations regarding processes that would streamline the payroll process
•Assists the Human Resources Manager with other functions when needed.
•Performs other duties as assigned.
2. Ensure a timely response to requests for information
•Research and resolve employee payroll issues
•Review and approve employment verification requests in a timely manner
•Answer payroll questions from School Leaders and Administrators
•Complete TRS forms for former employees
•Build custom reports for payroll processing and special requests as needed
3. Maintain Federal and State Compliance
•Maintain accurate and complete files for all KIPP Houston employees
•Reconcile and mail of W2 tax documents
•Preserve the confidentiality of sensitive employee information by maintaining a locked file system
•Submit monthly TRS reports
•Assist with mandatory state reports
•Run quarterly and year end reports
•High school diploma, plus 2- 5 years of Payroll experience
•Experience with a payroll system such as ADP, PeopleSoft, SAP, or equivalent software
•Experience in public education preferred

Participate in school community as a full member of staff, including, but not limited to, staff meetings, student recruitment activities, and student related activities.
Ability to communicate effectively (verbal and written), interpret policy and procedures, maintain emotional control under stress.
Physical Demands/Environmental Factors:
Frequent standing, stooping, bending, pushing and pulling, some heavy lifting. Biological exposure to bacteria and communicable diseases.
Salary is based on years of experience, degree of education, and level of expertise. The salary range for the Payroll Specialist position is $40,000 - $50,000. A competitive benefits package is also offered.
