Job Description
Executive Assistant

Perform administrative duties for executive management. Responsibilities would include screening calls, making travel and meeting arrangements, preparing reports and committee books. The position also calls for flexibility, excellent interpersonal skills, the ability to work well with all levels of internal management/staff and clients.


Update and maintain all calendars and contacts (Microsoft Outlook); coordinate all meetings and conference calls

Be the backup to the IC Investment Committee Scheduler. Scheduling, organizing and maintenance of AIC, Legacy and GIC.

Assist in producing and ensuring accurate and timely distribution of Investment Committee Summaries (Acquisition, Disposition, and Re-finance) strong Power Point skills a must

Screen and distribute extensive phone activity for specified team members

Organize and complete expense reports for each Manager

Use CONCUR or American Express agent to book all flights, hotels, rental car and car services for managers and assure accuracy


Scan, fax, print and copy materials in a timely fashion

Assist in producing and distributing internal and external client presentations for all offices

Prepare letters, draft emails, letters of intent, and other correspondence as needed

Register potential deals through CBRE internal system, send in NDA and Confidential Agreements to proper contacts

Assist Acquisitions team in the pre-acquisition, due diligence and closing process of purchasing commercial real estate assets throughout the United States

Manage respective portfolios by gathering and maintaining all property-related documents, keep electronic files as well has hard files organized and neat

Help create Lease, Sales, and Competitive Building Analysis summaries (don’t in excel)/maps

Responsible for discreet processing of highly confidential matters

Act as liaison with property management teams, brokers, clients, and internal staff

Prepare reports, memos, agendas, letters, presentations, and other documents using word processing, spreadsheet, database, and presentation software.

Keep abreast of any changes with properties leasing, management, or brokerage teams

Assist in planning holiday parties, company gatherings, dinners, and other corporate events

Become a Notary Public


Bachelor’s degree

4+ years’ experience in an executive administration position.

Proficient computer skills and in-depth knowledge of relevant software such as MS Office, Adobe Reader and Outlook


Must possess excellent oral, written and interpersonal skills.

Ability to speak clearly and persuasively, as well as listen and respond well to inquiries.

Ability to maintain a certain level of discretion and confidentiality.


Must work well independently as well as cohesively in a team environment.

Strong organizational skills with the ability to prioritize critical deadlines.

Superior problem-solving and analytical abilities.

Attention to detail and accuracy
