Job Description
Secretary (OA)

This position is located in the office of the Associate Director and Assistant Director who are responsible for all aspects of the VA Southern Nevada Healthcare System's operations. The incumbent will serve as the Executive Assistant and ensures that practices and procedures used by the secretaries in subordinate offices are consistant with those of the Executive Office. Provides specialized Record Control Schedule (RCS 10-1) and Medical Center Memoranda (MCM) training for all subordinate level secretaries including interpreting new policies and procedures, correspondence, publications, directives, and provides instructions relating to individual secretaries, upon request or as indicated. Acts as a Medical Center primary resource person for secretarial production. The following listed duties are not all inclusive:

  • Has exclusive control over the Associate/Assistant Directors schedules and calendars using own initiative and judgment in determining priorities for appointment and activities.
  • Independently determines which callers should be referred to subordinate or alternate resource for assistance.
  • Required to use office automation equipment and processes in order to accomplish the responsibility and duties of the position.
  • Duties will include; writing, transmitting, receiving and forwarding electronic mail (email), writing transmitted, receiving and formatting a printing work processing and spreadsheet documents.
  • Scheduling meetings via the electronic scheduling package (Conference Room Scheduler).
  • Must be fully functional in operations of Microsoft Office to include MSWord, MS Excel, MS PowerPoint, MS Access, and VISTA programs to include Fund Control Point menu andmailman.
  • Incumbent will serve as ADPAC for the Executive Office.
  • VATAS, timekeeping program.
  • Take meeting minutes.
  • Schedule travel for the Executive Leadership using Concur/CGE Travel

Work Schedule: 7:30 am to 4:00pm

Promotion Potential: The selectee may be promoted to the full performance level without further competition when all regulatory, qualification, and performance requirements are met. Selection at a lower grade level does not guarantee promotion to the full performance level.

Specialized Experience:Applicants must have One year of specialized experience equivalent to at least the next lower grade GS-07 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to:

  • Independently organizes and plans the activities of an office.
  • Maintains suspense systems to ensure items assigned for action are completed and submitted on time.
  • Serves as liaison between offices and/or sections.
  • Reviews correspondence and documents prepared for signature by management to ensure compliance with regulations.
  • Is proficient with the rules of grammar, format guidelines, and special policies of the facility.
  • Meets and works with individuals at different organizational level and persons of different backgrounds.
  • Must be able to type a minimum of 40 words per minute (certification of typing proficiency must be included in supporting documents).

There is no educational substitution for the GS-08 or GS-09levels.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Physical Requirements: The work is primarily sedentary. a minimum amount of walking, standing, bending and carrying items is required. No special physical qualifications are required. May require occasional travel.

Time-in-grade: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements. For a GS-08 position you must have served 52 weeks at the GS-07 and for a GS-09 position you must have served 52 weeks at the GS-08.
