Job Description
Program Support Assistant (OA)

As aProgram Support Assistant in the GI Screening Program;Office of the ACN, Ambulatory Care, Nursing Service;your duties may include the following:

  • Provide clerical, administrative and technical support.
  • Ensure that cases are processed in a timely manner.
  • Receive and screen numerous telephone calls and visitors.
  • Maintaincalendar; planning logical aspects of conferences, training andawards programs.
  • Secure location and meeting facilities, compile attendance and develop support materials.
  • Make travel arrangements, submit travel vouchers and reports for Program Coordinator.
  • Create and query databases and spreadsheets to generate reports and track program data.
  • Perform work involving the collection, compilation and/or tracking of data and statistical information.
  • Prepare GI non-invasive screening kits for dissemination to clinics or directly to patients.
  • Make initial and follow-up contact with veteran patients to ensure that appointments are kept or rescheduled.
  • Review incoming correspondence, publications, regulations and directives to determine if additional guidance is needed.
  • Maintain records of incoming correspondence and action documents to insure timely reply or action.
  • Prepare and review documents prepared for the signature of the supervisor.
  • Apply knowledge of correct punctuation, capitalization, correct spacing, and arrangement of material is essential.

  • Maintain a central filing system and library of correspondence, publications, policies and regulations, manuals and other resource materials.

  • Assist with maintenance of timekeeping data

  • Prepare Flyers for publication.

TOUR OF DUTY: Monday-Friday, 7:30 a.m. to 4:00 p.m.

SPECIALIZED EXPERIENCE: Applicants must have One year of specialized experience equivalent to at least the next lower grade (GS-5) in the normal line of progression for the occupation in the organization.

Specialized experience typically include, but are not limited to: Experience that equipped the applicant with the particular knowledge, skills, and abilities (KSA's) to successfully perform the duties of the position, and that is typically in or related to the position.

Education substitution is authorized at the GS-05 level.

Education: 4 years above high school. A copy of your college transcript(s) must be submitted

OR

Combination of Experience/Education: You may have a combination of the specialized experience and education as described in "1" and "2" above that equals 100 percent when combined to equal the required 1 year of general or specialized experience needed for this position. A copy of your college transcript(s) must be submitted.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Office Automation Typing Proficiency Requirement: In addition to meeting the basic qualification requirement, applicants must have the ability to type 40 words per minute.

Time-in-Grade Requirements: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements. For a GS-05 position you must have served 52 weeks at the GS-04 level.

Physical Requirements: Work is generally sedentary. It does require some physical exertion, such as standing for long periods of time, recurring lifting of moderately heavy items such as supplies and equipment for special programs. Considerable walking is involved. Must be able to work effectively under pressure of numerous interruptions on a variety of subjects.

Work Environment: The work involves everyday risks and discomforts requiring normal safety precautions typical of office settings. The work area is lighted, heated, and ventilated. The incumbent has access to FAX and computer equipment.

Probationary Period: This position requires completion of an initial one (1) - year probationary period, if not already served.
