Secretary (OA)

The Secretary position at the Battle Creek VA Healthcare Delivery System is an Office Automation (OA) position located in Medical Services.The positionrequires a minimum typing proficiency of forty (40) words per minute. As a Secretary (OA), you will act as the primary clerical, administrative support, and at times, personal assistant for your supervisor, section or service chief. Your primary duties will include but not be limited to:

  • Act as receptionist for service, section or program by receiving incoming telephone calls; directing calls as appropriate.
  • Provide general clerical public contact support such as answering the telephone, referring visitors or providing information about the office, its functions and standard operating procedures.
  • Maintains supervisor's calendar; schedules meetings, travel arrangements, etc.;
  • Screens all incoming and outgoing correspondence for appropriate routing, formatting, and disposition.
  • Provide general clerical and correspondence services such as preparing a variety of recurring reports, reviewing outgoing correspondence for proper attachments, or consolidating/coordinating submittals of information.
  • Monitor the use of services, supplies and equipment for the office. Justify and request replacements for outdated equipment as needed.
  • Act as timekeeper, recording all employee's hours for duty and leave; justifies timecards for payroll; ensures employee hours are properly accounted for.

Work Schedule: Monday through Friday, 8:00am - 4:30pm

TYPING PROFICIENCY: This position requires the skills of a qualified typist. In addition to meeting the experience and/or education requirements, you must be able to type at least 40 words per minute. YOUR TYPING PROFICIENCY MUST BE DOCUMENTED ON YOUR RESUME.

Specialized Experience:

Applicants must have One year of specialized experience equivalent to at least the next lower grade (GS-4). Specialized experience is experience that equips the applicant with the particular knowledge, skills, and abilities to perform successfully the duties of the position (listed below), and that is typically in or related to the position to be filled. To be creditable, specialized experience must have been equivalent to at least the next lower grade level (GS-4); Examples of specialized experience would typically include, but are not limited to clerical or administrative work performed in an office or professional healthcare setting.

OR

Four years of successfully completed education above the high school level in any field for which high school graduation or equivalent is the normal prerequisite (TRANSCRIPTS REQUIRED);

OR

Applicants may also combine education and experience to qualify at the GS-05 level. To calculate, first identify the percentage of required education you have earned (when substituting, you cannot use the first 60 semester hours that you earned). Then identify the percentage of required experience you possess. Add the two percentages. The total percentage must equal at least 100 percent to qualify at the GS-05. For example, an applicant who has 9 semester hours of graduate level education (i.e. 50% of graduate education required) and 6 months of creditable specialized experience (i.e. 50% of the required experience) would equal 100% of the required experience for the position.

A transcript must be submitted with your application if you are basing all or part of your qualifications on education.

Experience refers to paid and unpaid experience, including volunteer work done through National Service programs (e.g., Peace Corps, AmeriCorps) and other organizations (e.g., professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies, knowledge, and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience, including volunteer experience.

Physical Requirements:

The work requires a combination of sedentary and light physical activities. Some walking, standing, bending , lifting, reaching, and pushing are required to retrieve resources, provide minor adjustments to equipment, and maintain records. You must have the capacity to handle somewhat stressful situations and multiple priorities.

Time-in-Grade:

Applicants who are current Federal employees and haveheld a GS grade anytime in the past 52 weeks must also meet time-in-grade requirements. For a GS-05 position you must have served 52 weeks at the GS-04 level.
