The Campaign Coordinator will support the Vice President, Philanthropy and the Philanthropy department with campaign readiness and feasibility activities.  This key administrative role will coordinate multiple aspects of the impending campaign working to ensure the successful and strategic execution of a wide range of campaign activities, including administration campaign planning, launch, and implementation activities.  This critical communication role acts as an important liaison for constituents and is responsible for providing accurate and timely information both in response to and in anticipation of requests.  The successful candidate will exhibit dependability and willingness to work as an integral member of the Philanthropy team and be capable of working well within all levels of the organization.  The Coordinator is expected to take initiative, be a self-starter, and work independently and collaboratively with team members.  Must maintain professionalism, show flexibility, handle multiple tasks and changing priorities, and remain composed under pressure of deadlines.  The Coordinator must be able to effectively communicate the mission, values, and scope of the institution.  


Responsibilities and essential job functions include but are not limited to the following:

  • Prepare and maintain a comprehensive campaign calendar by proactively looking ahead and anticipating needs – such as agendas, PowerPoint presentations, or handouts – well in advance
    • Monitor the campaign’s overall timeline and track progress
    • Track activities and progress toward objectives of campaign feasibility study and campaign launch plans
    • Monitor campaign budget
  • Provide day-to-day management and coordination of all consultants and other vendors engaged to support the campaign, including planning, feasibility study, and campaign communications support
  • Organize, disseminate, and archive all documentation pertinent to the campaign
    • Oversee and coordinate campaign correspondence and other communication related to the campaign
    • Enter all appropriate campaign-related information into the Raiser’s Edge; extract and create reports from the database as needed in coordination with Philanthropy administration staff
    • Prepare agendas and record proceedings of all campaign planning meetings and activities
    • Maintain a comprehensive campaign archive, including all documentation relating to the planning and implementation of the campaign; prepare periodic reports as requested
  • Write and edit prospect and donor correspondence for various purposes
  • Coordinate with all internal constituents in regards to campaign planning and implementation
    • Staff the Vice President, Philanthropy, President, Chief Operating Officer, and Senior Vice Presidents in coordinating the core activities for the campaign trustee working group
    • Provide planning and launch support for the internal operations of the campaign
    • Support leadership fundraising activities and coordinate with prospect management
  • Manage special projects as assigned


Summary of Experience

  • Bachelor’s degree required
  • Three to five years professional experience in progressively responsible positions requiring a high degree of organizational, communications, and interpersonal skills
  • Experience in non-profit environment, particularly in fundraising operations (preferred)
  • Advanced proficiency in Microsoft Office Suite required
  • Raiser’s Edge experience preferred
  • Experience using project management software (Asana, Smartsheet, other) preferred

  • Excellent communication skills (written and verbal)

  • Ability to reschedule and distribute work assignments based on shifting priorities
  • Ability to remain focused and work extensively with details, accuracy, and speed
  • Ability to learn quickly in a dynamic, fast-pace environment where priorities and tasks change daily
  • Ability to think quickly and react calmly to challenging situations
  • Ability to handle confidential and sensitive information
  • Ability to build relationships and work in a team environment
